Create a purchase order

Updated 08 Oct 2026

Get purchases approved before they happen by adding a purchase order in Pleo.

Feature availability depends on your plan. For more information about what’s included in each plan, see the pricing page.

How to create a purchase order

  1. Go to Purchase Orders
  2. Click Create purchase order
  3. Add the details, make sure to provide at least one line item and the currency the invoice will be sent in. If relevant, add the correct tags and add a currency
  4. Once all details are added, click Create
  5. Your purchase order is submitted for approval. Approvals are based on your company’s settings.
    • If your company has review rules in place, reviewers may be assigned automatically based on the purchase order’s tags, team, or company-wide rules.
    • If a purchase order does not match any review rules it will be automatically rejected.

Review and approval

Reviewers can approve or reject your purchase order from Reviews. A purchase order needs approval from at least one reviewer.

Reviewers are grouped under Tag review, Team review, or Company review, depending on how they were assigned. Each group shows its status:

  • Waiting for review
  • Approved
  • Rejected

Edit a purchase order

You can edit a purchase order while its review is pending:

  • No reviewer assigned: Only the purchase order owner can edit it
  • Ready for review: The owner or an assigned reviewer can edit it

Once a purchase order is approved or rejected, it can no longer be edited.

Download a purchase order

Anyone with access to the purchase order can download it as a PDF after it has been created.

Link a purchase order to an invoice

Pleo automatically checks whether an invoice matches its linked purchase order. If the details don’t match, you’ll see a warning so you can review and correct them.

To link a purchase order manually:

  1. Go to Invoices.
  2. Select the invoice.
  3. Under Purchase order, select the purchase order you want to link.

How approvals carry over to invoices

When a match between a purchase order and an invoice is confirmed, automatically or manually, relevant purchase order approvals carry over to the invoice.

  • Reviewers who approved the purchase order don’t need to approve the invoice again if they’re also part of its review flow.
  • Additional invoice reviewers still need to approve the invoice.

If the match is later removed or rejected, the transferred approvals are also removed.
