There is a difference between downloading or exporting your expenses.
- Exporting expenses- For bookkeeping purposes
- Move your expenses to your accounting integration
- Lock the expenses so they can no longer be edited
- Downloading expenses- For analytics purposes
- Download a .csv or .xlsx file with selected expenses
- Expenses will not be moved to your accounting integration and will not be locked so they can still be edited
Export expenses
Note: Before your first export, make sure you have set up your accounting with Pleo. If you set up Pleo with custom file export, you'll be able to export expenses to an Excel or csv file.
To export expenses:
- Navigate to Export
- Make sure all expense details are correct
- If they are not you can bulk edit expenses by using the filters or selecting more than 3 expenses and clicking Bulk edit
- If the details are correct, continue to step 3
- Select the expenses you want to export
- Click Add to Export Queue
- Navigate to the Export Queue
- Select the expenses you want to export
- Click Export
Good to know:
- You can only export settled transactions
- Once your expenses have been moved to the Export Queue, you can't edit them unless you move them remove them from the queue
Revert export
Once you have exported your expenses, it's not possible to revert the export. Reach out to our support team if you have an export that needs to be reverted.
Download expenses
To download expenses:
- Navigate to Export
- Click Reports
- Apply any filters or select the expenses you wish to download
- Click Download
- Select Expense data to download the expense details as .csv or .xlsx in generic format
- Select Attached receipts to download the receipts and attached files in .pdf format
Good to know:
- Expenses will not move them to the export queue when they are downloaded
- Downloaded expenses can still be edited
