Submit a mileage claim

  1. In the Pleo app, tap +
  2. Select Mileage
  3. If prompted to: Select a fuel rate or vehicle type
  4. Enter your travel date, departure address, and destination address
  5. Double-check the total distance calculated — if it’s incorrect, tap the (three dots) to update the journey details
  6. Tap the check mark
  7. Add all expense details


Good to know:

  • Mileage claims can only be submitted through the Pleo mobile app (except for companies registered in the UK)
  • Mileage claims get submitted per claim added — there is no need to submit a report
  • Once you have submitted a mileage claim, you'll no longer be able to edit it. If you need to make changes: delete the claim and submit it again
  • DK only: To help customers comply with the 60-day rule for tax-free transport allowance, you will not be able to submit mileage claims between a workplace and your residential address if the itinerary has been travelled on 60 individual days within the last 365 days

Get reimbursed

Getting reimbursed for your mileage claim works the same way as getting reimbursed for your out-of-pocket expenses.

How the mileage amount is calculated

Your mileage reimbursement is calculated as: Reimbursement = Distance × Rate


1) Distance

Pleo calculates distance based on the route between the addresses you enter (departure → destination). The distance shown in the claim is what will be used for the reimbursement amount.


2) Rate

The mileage rate comes from your company settings and may depend on:

  • Vehicle type (if your company uses different rates per vehicle)
  • Fuel rate (if your company uses fuel-based rates)
  • Your organisation’s configured mileage policy (e.g., tax-free allowance rules in your country)


Before you submit, double-check these fields:

  • Travel date: affects which policy/rate applies (if rates changed over time)
  • Departure & destination: small spelling differences can change the route
  • Distance shown: this is what Pleo will reimburse

Troubleshooting: distance issues

The distance looks wrong (too long/too short)

Try the following:

  • Check the address details
  • Use a full address (street + city), not just a company name
  • Confirm the correct postcode/zip code
  • Adjust the route details:
    • Tap the (three dots) and update the journey details
    • Re-enter the departure and destination to force a recalculation
  • If you need a return journey, make sure the claim includes it


If you made a mistake after submitting

Mileage claims can’t be edited after submission. Delete the claim and submit it again with the correct details.
