Expense not appearing in the Review list

If you’re expected to review an expense but it doesn’t show up in Review, it’s usually because the expense isn’t ready for review yet, it has been routed to someone else, or your reviewer scope doesn’t match the expense.


Before you start, confirm:

  • The expense link/ID (ask the submitter for the direct URL)
  • The current status (draft/submitted/approved/rejected)
  • Which review rule should apply (team, tag, amount, or company-level)

1) Confirm the expense is actually waiting for review

What happens

The expense won’t appear in your list because it isn’t currently waiting for your action.

How to confirm

  1. Open the expense using a direct link from the submitter
  2. Check the timeline/status to see whether it’s still Draft, already approved, rejected, or cancelled

How to resolve it

  • If it’s Draft, the employee needs to submit it
  • If it’s already approved/rejected/cancelled, it won’t appear in your Review list

2) Check whether it’s routed to another reviewer

What happens

The expense is submitted, but company rules route it to someone else (e.g based on tag, team, or amount).

How to confirm

  1. Open the expense
  2. Check who is listed as the current reviewer

How to resolve it

  • If routing looks wrong, an admin needs to review your company’s Review settings (rules, thresholds, team/tag setup)
  • If the issue is specific to one expense, check whether the team or tags on that expense are correct

3) Verify reviewer scope and permissions

What happens

Your reviewer role may be restricted to certain teams/tags, and the expense falls outside that scope.

How to confirm

  1. Confirm which teams/tags you’re configured to review
  2. Check whether the submitter belongs to a team you’re responsible for (or whether the expense uses a tag that routes elsewhere)

How to resolve it

  • An admin can expand your reviewer scope or add/update a review rule to cover the missing area

4) Check for entity/workspace mismatches

What happens

If your organisation has multiple entities, the expense may belong to a different entity than the one you’re currently viewing.

How to confirm

  • In the app, check whether you’re in the correct entity (via the entity selector)

How to resolve it

  • Switch to the correct entity
  • If you can’t access it, ask an admin to grant you access

5) Clear filters in the Review view

What happens

The expense is assigned to you, but it’s hidden by filters (dates, employees, tags, etc.).

How to confirm

  1. Go to Review
  2. Check for any active filters

How to resolve it

  1. Clear all filters
  2. Use search to find the submitter's name or the amount


Good to know: If an employee is moved to a new team, you may lose visibility of their expenses until an admin updates the review chain mapping

For admins: when to contact Support

If the reviewer has the correct permissions, no filters are active, and the expense is in the correct status but still doesn’t appear in Review, contact Support and include:

  • The expense URL or ID
  • The expected reviewer’s email address
  • A description of the review rule that should apply
