User management through your HR system

  • Integrations with HR systems are available for customers on Advanced plans.
  • Integrations require admin access to the HR system.


Connect your HR system to Pleo to automatically:

  • Add new employees to Pleo (you'll still need to send them an invite before they can start spending)
  • Remove Pleo access when employees are removed or deactivated in the HR system

To set up the integration:

  1. Navigate to Settings
  2. Click Apps and change to the People management tab
  3. Select your HR system
  4. Click Connect
  5. Follow the prompts

What's next?

Users are automatically synced

Once the integration has been set up, existing users will be synced to users in HR system:

  • Users that exist in both Pleo and the HR system - will get the label "added via …" and if they are removed from the HR system their access to Pleo will be revoked

  • Users that only exist in Pleo - will stay in Pleo and can only be deleted manually. To connect them with users in your HR system make sure that they use the same primary email address.

  • Users that only exist in the HR system - will now be listed in the add people page, they still need to be invited to get access to Pleo.

When the users have been synced into Pleo, you can invite them to use Pleo:

  1. Go to People
  2. Click Add people
  3. Select the Users you want to invite to Pleo
    • For multi-entity set-up: Select the entity you want to add the user to
    • Select the Card access, 
      • Card - User will only be able to spend with their Pleo card
      • Card and Reimbursement - User can use their Pleo card and add out-of-pocket expenses
      • Reimbursements only - User can only add out-of-pocket expenses


Once you have invited the users, they will receive an email invitation that they need to accept. 


Disconnecting your HR system

  • Information on synched users that were invited and accepted the invite to Pleo will remain in the account and will NOT lose their Pleo access
  • Information on users that were never invited will be removed from Pleo
