This article explains what happens when you change your Accounting mappings or export format, and how to safely re-export expenses without creating duplicates in your accounting system.
What changes when you update your Accounting setup?
If you update anything under Settings → Accounting (for example categories, tax codes, tags, or contra accounts), those updates will apply to the next export you generate.
If you update a custom export format (for example by adding new columns/data points), you can re-export expenses that were already exported, and the new file will reflect the updated format.
Re-export expenses after a mapping or format change
- Go to Settings → Accounting
- Update your mapping (categories/tags/tax) and/or your custom export format
- Click Save (so your next export uses the updated setup)
- Decide the scope you need to re-export (for example, “all expenses exported since 1 May 2026”)
- Export/download the file again using the same format you normally use (Generic or Custom)
- Before importing, check the file looks right (columns + values), then import it into your accounting system
Avoid duplicate entries in your accounting system
To avoid duplicates, use one of these approaches:
- Export only expenses you haven’t imported yet (recommended)
- Re-export the same period and re-import, but make sure your accounting system can detect or prevent duplicates (this depends on your accounting system)
Good practice checks
- Re-export a small test batch first (then scale up)
- If you changed a custom format, confirm the expected columns and values appear in the file
- Name the file clearly (for example, “Re-export – new mapping – May 2026”)
